AUTO RENTALS CANCELLATION POLICY Last Updated: September, 2026. This Cancellation Policy explains the circumstances under which a customer may cancel a confirmed booking made through the Auto Rentals platform. Auto Rentals is operated by Auto Rental Essentials LTD within the framework of the Auto Rentals Operators Association of Abuja (AROAA). By making a booking through the Auto Rentals platform, you acknowledge and agree to this Cancellation Policy. This Policy should be read together with the Auto Rentals Terms & Conditions and Refund Policy. 1. CUSTOMER CANCELLATION Customers may cancel a confirmed booking at any time, subject to the applicable cancellation terms below. Cancellation at least 24 hours before the scheduled service Where a customer cancels a booking at least twenty-four (24) hours before the scheduled service time: - The customer will receive 90% of the applicable booking amount as a refund; and - 10% of the applicable booking amount will be retained as a cancellation charge. The cancellation charge covers costs associated with booking administration, operator coordination, and other arrangements made in preparation for the scheduled service. Cancellation less than 24 hours before the scheduled service Where a customer cancels a booking less than twenty-four (24) hours before the scheduled service time: - The booking is non-refundable; and - The customer will not be entitled to a partial refund under the standard cancellation policy. Customers are therefore encouraged to make cancellation requests as early as possible. 2. CUSTOMER NO-SHOW A customer who fails to appear at the agreed pickup location or otherwise fails to use the booked service at the scheduled time may be treated as a no-show. A no-show does not automatically qualify for a cash refund. Instead, Auto Rentals may offer the customer an opportunity to rebook the service. The rebooking opportunity: - Must be used within seven (7) days of the original scheduled service date; - Is subject to vehicle and driver availability; and - May be subject to any applicable difference in service charges where the replacement booking has a different price. A rebooking request does not guarantee the availability of the same vehicle, driver, date, time, or service. 3. CANCELLATION BY AN OPERATOR Auto Rentals works with registered and verified AROAA member Operators and their approved Vehicles. Where an Operator or assigned Vehicle becomes unavailable for a confirmed booking, Auto Rentals may seek to reassign the booking to another verified Operator or suitable Vehicle. Auto Rentals will make reasonable efforts to provide an alternative service that meets the customer's requirements, subject to availability. Where an alternative Vehicle or Operator is provided, the original booking will ordinarily remain valid subject to the revised arrangement communicated to the customer. 4. CANCELLATION BY AUTO RENTALS Auto Rentals may cancel a confirmed booking where it is unable to provide the booked Service or where circumstances make the provision of the Service impossible, impractical, or otherwise unavailable. Where Auto Rentals cancels a booking and cannot provide a suitable alternative service: - The customer will be entitled to a full refund of the applicable booking amount; and - The refund will be processed in accordance with the Auto Rentals Refund Policy. Where reasonably possible, Auto Rentals may first seek to provide an alternative vehicle or Operator rather than cancel the booking. 5. CHANGES TO A BOOKING A request to change the date, time, destination, duration, vehicle category, or other material details of a confirmed booking may be treated as a booking amendment rather than a cancellation. All amendments are subject to: - Availability; - The applicable service conditions; - Any difference in the applicable service charge; and - Confirmation by Auto Rentals. Customers should contact Auto Rentals as early as possible where a change to a confirmed booking is required. 6. INTERSTATE BOOKINGS Interstate bookings may be subject to additional charges based on the destination, vehicle category, and time frame or duration of the service. Cancellation of an interstate booking remains subject to the same applicable cancellation periods stated in this Policy unless specific booking conditions communicated to the customer provide otherwise. 7. HOW TO CANCEL Customers should submit cancellation requests through the available Auto Rentals booking/support channels. Customers should retain any cancellation confirmation or reference provided by Auto Rentals. 8. REFUNDS ARISING FROM CANCELLATION Where a cancellation qualifies for a refund, the refund will be processed in accordance with the Auto Rentals Refund Policy. Approved refunds will be initiated within five (5) business days. The time taken for funds to appear in the customer's account may depend on the payment provider, bank, or financial institution involved. 10. POLICY UPDATES Auto Rentals may update this Cancellation Policy from time to time to reflect changes to its services, operations, legal requirements, or booking procedures. Any updated version will be published through the Auto Rentals Platform with the applicable "Last Updated" date. 11.
